Event planning is a form of art that requires a combination of creativity, organisation and attention to detail. Whether you’re coordinating a corporate conference, a gala ball or a sports event, success lies in the details. To help you navigate the intricate world of event planning, we’ve compiled a list of the top 10 tips to ensure your next event is a great success.

  1. Set your goals and objectives – Make sure you align with your clients on their goals and objectives. Understand exactly what they want to achieve. Does this include a keynote speaker, panel discussions, interactive sessions, fundraising etc.
  2. Set your budget and stick to it – Liaise with your client on their budget and needs/wants. This is the foundation of your event. Make sure you consider all potential costs from the planning process to the execution. 
  3. Timeline and checklist – Create a detailed timeline that outlines all necessary tasks, milestones and deadlines leading up to the event. Alongside this, put together a checklist to make sure that nothing is forgotten. 
  4. Choosing the perfect venue – The right venue is critical to the entire event. Consider size, location, amenities and accessibility. Ambience of the venue is also important. Additionally, ensure the venue aligns with your clients budget.
  5. Create a powerful marketing strategy – No matter how well-planned your event is, it won’t be successful without proper promotion. Develop your marketing strategy to include social media campaigns and email newsletters. Reach out to your local media (TV, print and radio) to gain sponsorships or partnerships. Ensure your channels are relevant to your target audience.
  6. Engage your audience – Incorporate interactive elements into your event. These could include Q&A sessions, networking opportunities or interactive workshops. Engaged participants are more likely to speak positively about your event and return to future events.
  7. Secure reputable suppliers – The success of your event relies on multiple people from entertainment and AV to catering and cleaning. Word of mouth is important as personal reviews are generally honest but make sure you do your own homework too. Check their ABN is registered and research their digital footprint. Do they have a website, social media channels etc. Check their online reviews!
  8. Secure your back-up plans – Outdoor events are extremely popular but sadly we are unable to control mother nature. Ensure you have a wet weather option whether it be an indoor venue or marquees ready to be erected. Also be mindful that sickness does occur so check with your suppliers that they also have their back-up options secured.
  9. Utilise Technology – Incorporating technology into your event can elevate the overall event experience. There are hundreds of websites and apps that can help with registrations, communication and the collection of valuable data. 
  10. Evaluate and learn for the future – Post event evaluation is crucial for all events. Gather feedback from your client, attendees and team members to identify strengths and areas of improvement. Use this information to refine your next event!
